Users and roles

You can create users and assign preset roles, made up of a set of permissions, to your team members to gain greater control over access to your sites’ content. As your needs change, you can update their role.

In this section of Griddo we can assign predefined roles to users. The administrator can assign team members as many roles as needed. In this first phase, it comes preloaded with global roles that are accessible to all sites. You have the option to disable the roles you are not going to use on your sites.

Roles are global and available to all sites. We can review the permissions each one has and deactivate the roles we do not need, either on all sites or only on some of them.

Griddo comes with a set of preset roles:

  • Administrator: Can manage all of the site’s settings, users, and roles. Can create and publish all pages of their site.
  • Webmaster: Can edit the entire site, add pages and modules, and modify URLs, menus, colors and themes, and HTML tags. Cannot manage users or the site configuration.
  • Editor: Can view, add, and edit the site’s content, such as pages and modules.
  • SEO Validator: Can manage everything related to the pages’ SEO.
  • Viewer: Can view content, but not edit it. Although Griddo comes with these roles, in upcoming iterations you will be able to create custom roles.

Users in Griddo are global, although you can grant them access to all sites, or only to some of them, as needed.

When creating a new user, we have to choose which type we want them to be:

  • Super admin: Has access to all Griddo features and to all sites with the administrator role (can do everything, everywhere).
  • Member: Can be assigned roles and given access to all sites or only to specific ones.
  1. New: By clicking the New button, we enter the page with the fields to create the user.
  2. Fields: We ask the user to fill in the name and email to add the user.
  3. Super admin: We assign them the Super admin type so they have access to all Griddo features and to all sites with the administrator role (can do everything, everywhere).
  4. Save: It is saved and an email invitation is sent to the user so they can access Griddo.
  5. Listing: The created user appears first in the listing and shows that they are a super admin.
  1. New: By clicking the New button, we enter the page with the fields to create the user.
  2. Fields: We ask the user to fill in the name and email to add the user. We assign them the member type so we can assign roles and grant access to specific sites.
  3. All sites: We select Access to All sites so the user has access to all sites created and to those created in the future.
  4. Roles: Opens a modal with the list of preset roles we can assign. The roles shown are global. By selecting each one, the permissions the role contains appear. Once we have chosen, we add it to the user and the modal closes. They will have the same role on all sites.
  5. Save: It is saved and an email invitation is sent to the user so they can access Griddo.
  6. Listing: The created user appears first in the listing and shows the role they have been assigned on all sites.
  1. New: By clicking the New button, we enter the page with the fields to create the user.
  2. Fields: We ask the user to fill in the name and email to add the user. We assign them the member type so we can assign roles and grant access to specific sites.
  3. Sites: We select the site we want to give the user access to.
  4. Roles: Opens a modal with the list of preset roles we can assign. The roles shown are global. By selecting each one, the permissions the role contains appear. If there is an inactive role on the selected site, it will not appear in the list. Once we have chosen, we add it to the user and the modal closes. This action must be done for each site we want to assign to the user.
  5. Save: It is saved and an email invitation is sent to the user so they can access Griddo. This user will appear in the users listing in Global and, also, in the users listing on the site or sites they have access to.
  6. Listing: The created user appears first in the listing and shows the sites and roles they have been assigned.

Grant permissions to work with global data

Section titled “Grant permissions to work with global data”

If we want the user to be able to work with global data, we select the Global data option. We have to assign them the role or roles we want them to have to work with this data.

If a user no longer needs access to Griddo, we can delete them by opening the user actions. It will always ask us to confirm the action before performing it.

Although users are global, you can choose whether to give them access to all sites or only to some of them. From the site itself, we can add users, but they will always be global users with access to that site. You can manage them from the site side menu.

  1. New: By clicking the New button, we enter the page with the fields to add the user.
  2. Fields: We ask the user to fill in the name and email to add the user. We can assign them the role they need.
  3. Roles: Opens a modal with the list of preset roles we can assign. The roles shown are global. By selecting each one, the permissions the role contains appear. Once we have chosen, we add it to the user and the modal closes.
  4. Save: It is saved and the user is granted access to that specific site.

In addition to assigning roles, you can give a user access to only certain pages of the site. That way, that person will work solely on those pages, with the permissions granted by their role.

  1. New: Click New in the site’s users section to create a user, or open an existing one to edit it.
  2. Fields: Fill in the person’s Name and Email.
  3. Roles: In Roles assigned, click Manage user roles, select one or more roles, and confirm. The active roles, both global and site, are shown.
  4. Pages: In Page permissions, click Manage page permissions to open the side panel with the site’s pages.
  5. Select pages: Check the pages you want to give access to. You can narrow the list with Filter by page type and with the search box. When you are done, click Select pages; the pages appear listed in the user’s profile.
  6. Add user: Save with Add user. The person will receive an email invitation to access the platform.
  1. Actions: We open the actions for the user we want to remove access from and select the Remove from site option.
  2. Modal: A modal appears for us to confirm the action. The selected user will lose access to this site but not to Griddo.
